What we use the information for
Ipsos Karian and Box have been appointed under a contract as a “Processor” to conduct employee surveys on behalf of The Co-operative Bank (the “Controller”) so that we can analyse the responses to your survey questions in order to provide pseudonymised reports back to The Co-operative Bank to support the organisation to improve its understanding of how colleagues feel about the company and the work that they carry out.
We also use the information collected for industry benchmarking, and any information used for this purpose will always be anonymised and remain in aggregated form, meaning you cannot be identified from it.
Confidentiality
To help us to maintain confidentiality, please do not name individuals or detail any other information in your responses that could lead to you, or your colleagues, being identified.
Your identity will not be revealed, and you will not be identifiable to The Co-operative Bank unless we are instructed to do so because a significant “red flag” has been identified. For example, The Co-operative Bank may direct to us disclose a participant’s identity if there are clear indications that someone is at risk of harm. To date, this has never occurred, however we believe in providing clear, honest, and transparent notices on how we will process the information you provide to us.
Ipsos Karian and Box will not store the data for any longer than is necessary for the performance of the contract with The Co-operative Bank and will only share information collected if directed to do so by your employer. For example, transferring historical survey results to a new supplier.
How to exercise your rights
Should you decide to withdraw your consent at any stage, you can do so by emailing IKB.compliance@ipsos.com using the subject line “Withdrawal of consent to process my data”.
Please state your name, the company you work for and the approximate date you completed the survey if you are not using the same company email address you used to complete the survey. We will likely need to verify your identity by requesting you provide us with a form of identification if you are not using the same email address.
You can also use this email address to exercise your other rights that include amongst other things, the right of access (asking for a copy of the information we hold about you), the right to rectification (correcting a mistake in the survey), the right to be forgotten (have the information we hold about you destroyed), or to make a suggestion or lodge a complaint.
